How Suppliers Receive Shoprite Checkers Purchase Orders Electronically

Shoprite Checkers has sent purchase orders to its suppliers through M2North since 2004. Here is how a supplier receives them, sends delivery notes and invoices back, and which systems it can use.

If you supply Shoprite, Checkers or Usave, your purchase orders do not arrive by email or fax. Shoprite Checkers sends its purchase orders to its suppliers electronically through the M2North network, and has done since 2004. This article explains what that means for a supplier: what you receive, what you send back, and the ways you can connect.

What Shoprite Checkers exchanges with its suppliers

Four documents travel between Shoprite Checkers and its suppliers on M2North:

  • Purchase orders for Shoprite, Checkers and Usave, ready to accept and fulfil without retyping.
  • Delivery notes, sent by the supplier against each order, so what reaches the store matches what was ordered.
  • Invoices, raised from the order itself, in the format Shoprite Checkers expects.
  • Debit notes, which come back on the same network as the orders and invoices they relate to.

Because all four move on the same network, each document can be traced to the others. A debit note can be matched to the invoice and the order behind it, instead of being reconciled by hand weeks later.

Do you need EDI software or an ERP?

No. EDI, electronic data interchange, simply means exchanging business documents as structured data rather than paper or email. M2North handles the EDI side, so a supplier does not need its own EDI software or translation tools.

What you do need is a way to see the orders and respond to them. There are three, and you can move from one to another as your business grows.

Three ways to connect

1. In a browser, with no ERP. Smaller suppliers work in the M2North supplier portal. Orders appear on screen, and you accept them, send delivery notes and invoice from the same place.

2. Straight into your ERP. Missing Link Pro posts Shoprite Checkers orders directly into your ERP and sends your delivery notes and invoices back automatically. M2North already connects to SAP, Sage, SYSPRO, Xero, QuickBooks and Zoho, among many other systems, in whatever format each one speaks: EDI, XML, CSV, PDF or an API.

3. Alongside every other channel. Most suppliers receive orders from more than one place: other retailers, email, web portals and direct API connections. Missing Link Accounts Receivable turns Shoprite Checkers orders and orders from every other channel into validated sales orders in your ERP.
